POSITION HOURS ARE MONDAY - THURSDAY 4:30PM - 8PMPURPOSE AND SCOPE:
- Under the direction of the Office Manager, assists in providing and facilitating the hospitality needs of the parish; assists with parish communication; receives and handles hospital and nursing facility calls; oversees lobby and kitchen appearance; performs assigned clerical duties through computer usage; participates as a member of the parish staff. Performs any other position-related tasks as deemed necessary and/or assigned by the Office Manager or the Pastor.
DUTIES OF THE JOB:
- Individual is a self-starter, must be a proficient typist and possess computer skills in word processing, including and not limited to MSWord/Windows and Excel.
- Basic clerical skills.
- Knowledge of multi-line telephone system.
- Ability to work with many types of people.
- Conversant in parish terminology and culture, policies and procedures including a knowledge of Catholic practices.
- Excellent communication and phone skills, proficient in multi-tasking, open to learning and updating self on parish and diocesan policies.
- Flexibility in dealing with all types of personalities either by phone or in person, including emergency assistance calls.
- Contact person for volunteer calls, directing information to the various ministries.
- Keeps all office equipment in working order and checks equipment supplies
- Oversees general kitchen appearance during the evening.
- Oversees lobby appearance.
- Creates signs in Word and posts them as requested for special situations or events.
- Actively participates in and receives the mutual support of all staff members.
- Duplicating of forms, flyers, etc. as requested on office machines.
- Work collaboratively with the evening volunteer relief reception staff providing any and all up to date information needed to respond to community requests as well as help train volunteers for reception desk.
- Direct parishioners/visitors to activities on campus in evenings (when volunteers are covering the parish office).
- Proof reading as assigned.
Job Requirements:
JOB SPECIFICATIONS: KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- High School graduate with advanced classes in administrative courses preferred.
- Excellent spelling skills and proficient in written and oral English skills.
- Minimum of six months receptionist experience, preferably in a Catholic Church setting.
- Complete and maintain Diocesan Safe Environment Training as required by the Diocese.
- Must possess a valid Arizona Driver’s License and own personal transportation. Employee is subject to Diocesan and parish personnel policies prescribed for all personnel.
