Program Description

Founded in 1967, California Indian Legal Services (CILS) is the oldest public interest Indian rights law firm in the country, promoting the fundamental rights of California tribes and Indians through litigation, legislative and administrative advocacy, community development, and other strategies for systemic change. CILS provides a full range of legal representation to California Indian tribes and Indian organizations, advocates for the rights of California Indians at the local, state, and national levels, and provides direct services and community education to low-income Native American individuals on issues related to Federal Indian Law. Currently, CILS offers services statewide and maintains four offices throughout California - Eastern (Bishop), Southern (Escondido), Northern (McKinleyville), and Central (Sacramento). This position is in the Principal Office, located in Sacramento, CA.

Position Overview: Executive Assistant to the Executive Director

Job Type: Full-time, Hourly

Location: Sacramento (In-person with optional teleworking on Mondays and Fridays)

Wage/Salary: $28.85-$31 per hour (DOE) with advancement opportunities

Position Summary: As the Executive Assistant to the Executive Director at the California Indian Legal Services (CILS), you'll play a pivotal role in supporting the Executive Director and the Board of Trustees. This dynamic position requires a strategic mindset, exceptional organizational skills, and the ability to coordinate projects seamlessly. You'll contribute to the success of CILS by facilitating communication, managing projects, supporting the Board of Trustees and providing vital support to the Executive Director.

Minimum Qualifications:

  • Bachelor's degree or equivalent experience.
  • Three plus years of experience in a non-profit, tribal organization/ government or legal setting.
  • Three years relevant administrative or programmatic experience.
  • Solid understanding of Native Americans and Tribes in California.
  • Experience working with tribal communities in any capacity.
  • Experience in creating and maintaining organizational systems and processes.
  • High attention to detail.
  • Excellent judgment, discretion, and ability to maintain confidential information.
  • Reliability, professional attitude, demonstrated ability to meet deadlines.
  • Ability to balance multiple projects and work independently.
  • Excellent oral and written communication skills.
  • Outstanding organizational and time management skills.
  • Excellent interpersonal skills.

Preferred Qualifications:

  • Non-profit, legal, and administrative experience.
  • Experience working with Tribes and/or tribal programs.
  • Experience in a fast-moving, growth-oriented organization.
  • Certificates/formal training in administrative, project management, or related areas.
  • Experience in technology platforms for managing tasks and projects.
  • Deep connection and commitment to the CILS mission and tribal communities in California.

Duties and Responsibilities:

Executive Director Support and Project Coordination (30%)

  • Coordinate projects on behalf of the Executive Director, utilizing project management tools and principals.
  • Work collaboratively with CILS staff to fulfill requests for the Executive Director.
  • Schedule and organize meetings, appointments, and other commitments for the Executive Director.
  • Book travel, reconcile spending accounts and process reimbursements for Executive Director.
  • Perform any other duties as assigned.

Board of Trustees (30%)

  • Schedule and coordinate Board meetings, ensuring timely distribution of meeting materials.
  • Draft and distribute Board meeting minutes, tracking completion of follow-up tasks.
  • Maintain internal Board files and records.
  • Effectively communicate Board actions and information to the organization/staff.
  • Provide administrative support and related functions.
  • Book travel and process reimbursements on behalf of the Board.

Communications (25%)

  • Draft, proofread, and distribute reports, letters, resolutions, and meeting minutes.
  • Collect and update content for the website and intranet.
  • Assist with marketing and graphic design projects and requests.
  • Create and coordinate staff surveys.
  • Manage donation thank you letters on behalf of the Executive Director.
  • Analyze and summarize data for Executive Director projects.

Office Environment and Culture (15%)

  • Independently prioritize conflicting needs and handle matters expeditiously.
  • Coordinate organization wide enrichment activities in partnership with HR/ Admin Coordinator.
  • Maintain positive relationships with all field offices.

  • Collaborate with Administration on culture and strategic plan initiatives.
